Policies & fees

By checking your email inbox for an email from our clinic via secure email (Hushmail) inviting you to create your own account to access the secure email portal to view our message to you. In this email, you will receive instructions on how to complete our secure, online intake and consent form and to book your own initial appointment (all via Jane App). A link to our booking page will be provided in this email that will walk you through the entire process.

Please note that the online intake and consent form must be completed at least 3 full business days prior to your scheduled initial appointment. If the form is not completed in advance according the the stated timeline, your initial appointment will be cancelled and rescheduled.

Any requests for scheduling changes are to be communicated via secure email (Hushmail). As per clinic policy, any late cancellation or late rescheduling (less than 48 hrs advance notice given) or missed appointments (no shows) will be charged at a rate of $165/45 minute appointment or $250/75 minute appointment.

Late attendance to an individual appointment with a physician by 5 or more minutes after the scheduled appointment time, will be counted as a late cancellation/no show and charged the full missed appointment fee for a 45 or 75 minute appointment, with the appointment being rescheduled after successfully processing the payment. It is important to have access to the full session duration for therapeutic work to be facilitated and that there exist a shared responsibility in being punctual for appointments.

In the case of any partially attended appointments, a pro-rated amount of the full missed appointment fee would apply.

Attending an appointment while intoxicated or actively using substances during appointments or attending a virtual appointment from a location other than home will lead to the appointment being cancelled and will incur the full missed appointment fee, with the appointment being rescheduled after successfully processing the payment.

Partial appointments are not permitted as it is a mutual commitment by patient and physician to attend one or multiple times per week therapy appointments for their full duration in order to facilitate effective therapeutic work. In the case of any missed appointment time (ex. Due to ending the appointment early) will be subject to a charge at a prorated amount at the rate of $165/45 minute appointment or $250/75 minute appointment.

Late cancellation/missed/partial appointment charges will be processed at the time of the appointment and will otherwise be due within 48 hours if not successfully processed at the time of the affected appointment. If the payment is not provided within this timeline or an alternative payment plan not arranged (or followed through on), it may be sent to a debt collections agency to be recovered on behalf of the clinic.

As long as patients attend their appointments at the scheduled time, for the full duration of the appointment, and without being under the influence of substances or using substances during appointments, or attending virtual appointments from a location other than home, there is no cost for appointments with a physician. Contravening any of the patient agreements may lead to an immediate cancellation of the appointment and the patient being responsible for a late cancellation fee for the full session.

Please note that HST may be applicable.

A valid credit card is also required on file with the clinic while the patient is accessing services at our clinic, only to be charged in the case of a late cancellation or partial/missed appointment fee being incurred as per the conditions outlined above.

In order to pursue individual therapy at MD Psychotherapy Clinic, you must agree to and adhere to the following at all times:

  1. Show up on time to all of your scheduled appointments and be ready to engage sincerely; bringing in material for us to discuss together (specific examples from your real life of emotional, psychological, and/or interpersonal issues you are having difficulty with and wanting assistance for).
  2. Attend appointments in-person at our office located in Downtown Toronto. If due to extenuating circumstances and mutually agreed upon by patient and physician in advance, a virtual appointment may take place. In the event of a virtual appointment, patients must attend from a private, quiet, and well-lit location within their home, from a laptop or desktop computer, with a reliable internet connection and without interruption or disturbance from others. Appointments will be cancelled and subject to a late cancellation fee if present as a passenger or driver in a vehicle or from any location other than your home.
  3. Attend appointments for their full scheduled duration without distraction (ex. not eating, getting up to grab things, doing other tasks, distracted by pets, reading/responding to texts/emails, handling drug paraphernalia, or taking phone calls, etc.).
  4. Be an active participant in your own treatment; sharing honestly, openly, and being willing to follow through on treatment recommendations.
  5. Not consume any substances prior to or during your scheduled appointments and otherwise not show up intoxicated, hungover, or under the influence of any substances for any of your appointments.
  6. Proactively communicate any need to reschedule appointments 48+ hrs in advance of their originally scheduled time.
  7. Appointments primarily take place in-person in Downtown Toronto. Virtual appointments are to be considered only in extenuating circumstances and with mutual agreement in advance of the scheduled session time. In the event of a virtual appointment, virtual appointments from workplaces are not permitted. In the case of appointments occurring virtually and not in an in-person office setting, the physical location of both patient and physician at the time of appointments becomes the virtual “office space” and it is important that this be a consistent, reliable, distraction-free, and familiar setting that is safety promoting and thus in turn, facilitative of therapeutic work and ultimately therapeutic progression.
  8. Commit to attending weekly or twice weekly appointments as available/offered.
  9. Commit to attending appointments from Monday to Thursday as available/offered; sticking with a consistent day/time each week.
  10. All appointments will take place in-person by default and under extenuating circumstances where required and mutually agreed upon in advance, may take place via secure videoconference using Zoom; patients are required to have their video on throughout the entirety of all sessions in order to facilitate non-verbal communication within the therapeutic setting.
  11. Submit immediate payment for any fees incurred at the time of the originally scheduled appointment in the event of a late cancellation, partial attendance, or no show fee.
  12. Maintain a valid credit card on file as per clinic policy.

Failure to adhere to the above will preclude the establishment of a safe/effective therapeutic alliance and treatment frame, thus leading to termination of the therapy and patient-physician relationship.
